New Honorary Secretary and Honorary Membership Secretary Needed

Chrissy Tinson’s passing has created a vacancy for the Honorary Secretary position.

This role is vital for to enable the League to continue. Many leagues have shut down due to a shortage of volunteers for essential roles. With a membership of over 900 it would seem a pity for this fate to befall to our League.

We are open to splitting the role so another person can manage membership. Maybe you know another League member who would be willing to take on one of the roles while you manage the other.

Whilst much of the honorary secretary’s responsibilities are performed behind the scenes, this role is essential for ensuring the League’s effective day to day running.

The responsibilities of the Honorary secretary include:

  • Booking the speakers, rooms, equipment, and catering as required for League Day
  • Arranging for the AGM papers to be sent out to members in a timely manner
  • Organising the Zoom link to enable members to join remotely
  • Taking the Minutes of the AGM and ensuring that these are ready in time for The Review
  • Organising three Executive meetings a year including agreeing the agenda with the President, managing the Zoom link, taking Minutes, and distributing these in a timely manner
  • Maintaining the Minute book containing the signed Minutes of all Executive meetings
  • Ensuring that those members of the Executive due for re-election are asked to complete an application form.
  • If there an election required prepare the voting papers and liaise with the scrutineer
  • Managing day to day correspondence, questions/queries and escalating to the President as appropriate.

Membership secretary

  • Managing and updating the membership database as appropriate
  • Sending out membership packs to new members
  • Adding the new members to the database
  • On a monthly basis checking with the bank statements that members have paid their membership and following up anyone who has is behind
  • When informed of a members death writing to the family as appropriate, removing from the database and maintain a list of deaths in preparation for each Executive meeting. This list also needs to be compiled in preparation for League Day.

The secretary and membership secretary each receive any equipment they need, such as a laptop, to fulfil their responsibilities. Expenses will also be covered.
